PRODUCT OVERVIEW
Advanced Tier’s Project Tracking and Management system provides a comprehensive feature set for Tracking and Managing Projects. The system allows from defining and maintaining Projects, Tasks, Resources, Timesheets (work done), Issues, Expenses, Documents, and Email Notification to tracking any amount of time worked on a project. With authorized and role based access to the system, different users with different types of roles perform different activities on the system. The system has Gantt charts and progress bars that provide visual means for monitoring Projects. For timesheets, the system has Calendar view and list view with the capability to customize for projects, resources or a date range. One of unique features is client access to the system. With this feature, clients have controlled access to the system to view status of their projects and associated tasks. They have the ability to add issues and view the progress made on Project(s), tasks and issues. The administration side of the product allows custom look-n-feel of the site, customization of email templates, customization of several drop-down lists in the system.

The system has intuitive and user-friendly layout of screens making it very simple to use. It is a completely web-based system including administration thus it can be setup on company’s intranet or it can be made available on Internet allowing authorized users to access the system from anywhere in the world.

PROJECTS
A project is one of the main entities of the system. Authorized users are allowed to manage projects in the system including adding of new projects and updating existing projects. Projects are associated with Customers. Each project is assigned a project manager, start date and estimated total hours. A project can also be associated with budget allocated, billable amount and etc. A project screen always shows the project manager, progress bar and the status of the project. System allows notes to be associated with projects and authorized users can read/add notes at the project level. All notes associated with a project are date and time stamped. A project has tasks. A project can also have issues, documents, expenses and work-done associated with it.

TASKS / SUB-TASKS
Tasks are always associated with Projects. A Project can have any number of tasks and new tasks can be added to a project at any time. The system has a very user-friendly view of task-list associated with a project showing list of tasks, status, progress bar and links to task resources and task work done. Adding of tasks is as simple as simply typing task title, task type, start date, end date and hours assigned to the task, right on the task list screen. New tasks can be inserted at the end of task list or anywhere on the task list by simply clicking on the + sign. Tasks are always assigned start-date, end-date and estimated hours along with priority. A task can have notes that can be read/add by authorized users. Resources are assigned to tasks. Issues can be defined at the task level and can be assigned to one or more resources that are associated with the task.

RESOURCES
Our Project Tracking system has a complete resource management module. Resources can be added or modified. Project Manager has the capability to assign resources to a task of a project. Resources in the system can log in and review the tasks and issues that have been assigned to them. They can add, modify or assign issues associated with tasks. Resources have limited access to the system and can only visit the areas of the site that they have access to. The way system is designed; they can quickly review all the tasks and issues of all the projects that have been assigned to them. They are allowed to review authorized documents associated with a project or task. One of the key functionality for resource is to be able to log hours against a task or project. They can also log hours, which are independent of any project. Thus they can enter their complete timesheet into the system. Resource can also review their timesheets in a calendar view or per project basis or within a date range.

ISSUES
Issues are associated with Projects or Tasks. An Issue is defined as a ‘problem’ or ‘matter of discussion’ or ‘question’ associated with a Project or Task that does not qualify to be a task by itself. Authorized users can define a new issue at the project level or task level. An issue can be assigned to one or more resources that are already associated with the task or project. An issue has notes that can be read/add by authorized users. All notes associated with an issue are date and time stamped. The system supports full tracking and management of issues associates with Projects and Tasks. Emails are generated with every update of issues, thus all associated resources stay up-to-date with the status of the issue.

TIME TRACKING / TIMESHEETS
One of the major functions of the system is Time Tracking and Timesheet management. Any amount of work done on a project is tracked in the system. Resources can enter their hours by themselves by simply logging on to the site and entering their hours. They can enter hours against a project and task of a project. The system keeps track of total hours of project and total hours entered towards a project, thus enabling project managers to keep a good eye on the progress of a project and enables them to make critical decisions during the course of a project. Hours can also be entered independent of a project or task like company meeting or something else. These are the hours that do not contribute towards any project but a resource’s time is spent in such activities. Tracking all kind of activities by resources allows the system to generate timesheets for resources. Project Managers can view timesheets for projects, resources or date range basis or a combination of any of these. All these different views help Project Managers to track the progress of a Project. One of the key feature of Timesheet management is timesheet approval. Project Managers can approve resource timesheets by selecting resource and the hours entered by resource.

DOCUMENTS
The system supports full management of documents in the system. A document can be attached to a project or task. Any number of documents can be attached to a project or task. A document could be in any format. Each document is assigned a document category and file type. Documents have a special access level assigned to it. Based on its access level, a document is either available only to project manager or company executives or it can be made available to all resources associated with a project. A special option defines whether or not a document is viewable by client or not. Any authorized resource can upload a document.

EXPENSES
The system has complete expense management module. All expenses associated with a project are completely tracked in the system. This module allows cost tracking of a project and enables project managers and executives to make proper decisions during the course of a project. An Expense can be defined either at the Project level or Task level. Each expense is categorized into proper expense types. Expense types are configurable by the administrator of the site.

CUSTOMERS
Customers or Clients is an integral part of our Project Tracking System. All Projects are for Clients. There can be internal or external clients. Internal clients can be different departments within a company or other branches of the company. External clients would be any customers of the company. Our product has a unique feature that allows the customers of the company (for which project is being carried out) to log in to the system and monitor the progress of their project. Customer of the project has limited access to the system. They are allowed to enter issues thus keeping track of all the possible discussion or change requests that might become a requirement in future. Issues entered by customer are initially assigned to Project Manager and then he/she can assign it to a resource if necessary. Customers are also allowed to view authorized documents associated with the project. A project manager has the authority to decide which documents associated with a project are ok to be reviewed by the customer.

EMAIL NOTIFICATION
The system has email notification feature, with customizable email templates for various events. When such an event occurs, for example task assignment or issue assignment or update of a task or issue, an email gets sent to all the associated people including resources and project manager. All emails have templates that can be customized by system admin.

MISCELLANEOUS
The system has Gantt charts associated with Projects and Resources. Resources can view their individual Gantt charts. Similarly Project Manager can view a resources’ Gantt chart or a project Gantt chart. A resource’s Gantt chart shows which task a resource is working on and if he/she can be assigned more tasks from the same or other projects.

System has user-friendly screens with easy links to necessary portions of the site.

After initial sign on, the first screen shows the summary of all the tasks and issues that the logged user is associated with.
